Privacy Policy
Effective date: September 1, 2026
The short version: we collect only what we need to run the service — your name, email, purchase details, and study activity. We never sell your personal information. We use trusted service providers to process payments, send email, and measure our advertising. You can ask us to delete your data at any time by emailing support@provostprep.com.
1. Who we are
Provost Prep is an audio-first exam preparation platform operated by Vinodin Intelligent Solutions LLC ("Provost Prep," "we," "us"), a New Jersey limited liability company. This policy explains what personal information we collect when you use provostprep.com and the Provost Prep study app, how we use it, and the choices you have.
2. Information we collect
- Information you give us: your name and email address when you request a free practice exam, sign up, or check out; and any messages you send to support.
- Purchase information: payments are processed by Stripe. We receive confirmation of your purchase and the tier you bought. We never see or store your full card number.
- Study activity: your progress through lessons, quiz and practice-exam results, and your interactions with the AI tutor, so the platform can track your progress and personalize your study experience.
- Usage and device data: pages visited, approximate location (city level), device and browser type, and how you interact with our pages, collected through cookies and similar technologies described below. The study app also stores a random device identifier in your browser so we can keep your progress attached to the right account across sessions. It is generated on your device, is not linked to any advertising profile, and is cleared when you clear the site's data.
3. How we use your information
- To deliver the service you purchased and keep your study progress in sync across devices.
- To send transactional emails (receipts, login help, account notices).
- To send study tips, reminders, and marketing emails — you can unsubscribe at any time using the link in every email.
- To measure and improve our website, content, and advertising.
- To prevent fraud and comply with legal obligations.
4. We do not sell your data
We do not sell your personal information, and we do not share it with third parties for their own independent use. We share information only with service providers who process it on our behalf under contractual restrictions:
- Stripe — payment processing
- Supabase — secure database and account infrastructure
- Netlify — website hosting
- MailerLite — email delivery
- ElevenLabs — powers the AI voice tutor. When you start a voice session, your microphone audio is streamed to ElevenLabs in real time so the tutor can hear and respond to you. We also send, at the start of the session, your first name, your email address, the exam you are studying, your episode progress, and the device identifier described in section 2. Your first name and progress let the tutor address you and pick up where you left off; your email address and the device identifier are how we match the session back to your account afterwards, so your study record and your voice minutes stay attached to the right person. Voice sessions are opt-in — the audio lessons, practice questions, and text tutor all work without ever starting one.
- Anthropic — powers the AI text tutor. When you send a message to the text tutor, the text of that conversation is sent to Anthropic's Claude model to generate the reply. The text tutor is opt-in and is not used unless you start a conversation.
ElevenLabs and Anthropic process this information solely to generate the tutor's response back to you. We do not send them your payment information, and we do not use either service to build advertising profiles.
We may also disclose information if required by law, or in connection with a merger or sale of the business, in which case this policy would continue to apply to previously collected data.
5. Cookies, analytics, and advertising pixels
We use Google Analytics and Microsoft Clarity to understand how visitors use our site, and Google Ads and Meta (Facebook) pixels to measure the effectiveness of our advertising. These tools set cookies and may collect information about your visit, such as pages viewed and actions taken. Under some U.S. state privacy laws, the use of advertising pixels may be considered "sharing" of personal information for cross-context behavioral advertising. You can opt out of this by:
- Emailing support@provostprep.com with the subject "Opt out of targeted advertising"
- Enabling the Global Privacy Control (GPC) signal in your browser
- Adjusting your ad preferences directly with Meta and Google
6. How long we keep your data
We keep account and study data for as long as your account is active and for a reasonable period afterward so you can return to your progress. Purchase records are retained as required for tax and accounting purposes. You can request deletion at any time (see Section 8).
7. Security
Your data is stored with reputable infrastructure providers using encryption in transit and at rest. No method of transmission or storage is 100% secure, but we take reasonable measures appropriate to the sensitivity of the data we handle — and we deliberately minimize what we collect in the first place.
8. Your rights and choices
Depending on your state of residence (including under the California Consumer Privacy Act and the New Jersey Data Privacy Act), you may have the right to access, correct, delete, or obtain a copy of your personal information, and to opt out of targeted advertising. We honor these requests for all users regardless of state. To exercise any right, email support@provostprep.com from the address associated with your account. We will respond within 45 days and will never discriminate against you for exercising your rights.
How to request deletion of your account and data
You can ask us to delete your account and the personal information associated with it at any time, whether you signed up on our website or through a mobile app. Here is exactly how it works:
- Send the request. Email support@provostprep.com from the email address associated with your account, with the subject "Delete my account". No account login or form is required.
- We confirm it's you. We verify the request came from the address on the account. If you email from a different address, we may ask for additional confirmation before acting, so that nobody else can delete your data.
- We delete your data. We remove your personal information from our systems — including your name, email address, study progress, quiz history, and any AI tutor conversation records — and we instruct our service providers to do the same.
- We confirm completion. We respond to confirm the deletion, within 45 days at the outside and usually much sooner.
Two things we cannot delete, and why: we retain purchase and payment records for as long as tax, accounting, and anti-fraud law requires us to keep them, and we keep a minimal record of unsubscribe or opt-out requests so that we can honor them going forward. Deleting your data will end your access to any course you have purchased, and deletion is permanent — we cannot restore your progress afterward. If you only want to stop receiving email, you do not need to delete your account: use the unsubscribe link in any message instead.
9. Children
Provost Prep is designed for adults preparing for professional licensing exams and is not directed to children under 16. We do not knowingly collect personal information from children. If you believe a child has provided us information, contact us and we will delete it.
10. Changes to this policy
If we make material changes, we will update the effective date above and, where appropriate, notify you by email. Continued use of the service after changes take effect constitutes acceptance of the updated policy.
